HIWC Job Descriptions

The Club functions under the direction and leadership of a committee of the President, Vice President, Secretary, Treasurer and officers - all volunteers - who manage the HIWC. The Officers are responsible for Committees that oversee Membership, Newsletter, Website, Community Aid, Newcomers Welcome, Coffee Mornings, Luncheons, Special Events, Annual Charity Bazaar, HIWC Publications, and Sales and Marketing.

Photographer for HIWC venues
The photographer takes pictures at coffee mornings, luncheons etc. She will upload the pictures to the HIWC Picasa album and email a few to the Lotus News Team and webpage Coordinator.

Membership Coordinator
The Membership Coordinator is responsible for keeping recird of all Club Members. She we be present at HIWC events to renew memberships etc.

Shopping Trips - Circle Activities
The Coordinator for the Shopping Trips takes newcomers and other interested out on a shopping day, showing them some of the good places in Hanoi to buy food, furniture, books or other things.

President
Our current President Deborah Stephen, will be leaving Hanoi in March this year and HIWC is looking for someone to take on this position. If you have the motivation and the time and would like to meet and work with women from all over the world, do meaningful, rewarding work, and have some fun, then please step forward!


An overview of Presidential tasks follows:
- The President acts as spokesperson for the Club, and should be comfortable with public speaking.
- She should kick off any HIWC gathering as Coffee Morning, Luncheon etc. with a welcome statement and informative summary of current Club events. At times, the President may be called upon to lend guidance to any member or committee.
- Represent the HIWC at community functions and speak on behalf of the Club.
- Author the "President Message" article for the monthly Lotus News. The deadline for submission to the Newsletter Coordinator is the 15th of the month.
- Sign all "official" HIWC correspondence such as invitations, congratulations, condolences, thank you, fundraising letters, invoices and fund transfer sheets.

Select and appoint the Vice President.
- In addition, work closely with the Executive Committee (Vice President/s, Treasurer, Communication Officers)

We want to inform you that when it comes to communication with members and others, organizing of events and representing the club at events, this work is shared with other Board members. As the Board works now it is the communication officers that distributes or answers the mails to contacthiwc@gmail.com. Also a large part of the communication to members and others are done by the communication officers. Representing the Club at different events outside the HIWC is also being shared by Board members.

Communications Officer (Internal/ external)
We have a team of Communication Officers. We do have some that are taking care of internal communication and some that are taking care of external communication.

Internal means:
- Looking after the contacthiwc@gmail.co  account,
- Setting up the monthly Board meeting; confirm venue, make the Agenda, send out Agenda, take Minutes at the meeting and send these out.
- Send out mails with information to the members.
- Make the monthly Bulletin.
- Replace the President and Vice President when they are absent.

Assisting Board members in recruiting new volunteers for the Club. Communicate with Newsletter Coordinator for any vacant positions, which should be placed in the Newsletter.
- Assisting the President and Vice President in all PR related articles.

External means:
- Replace the President and Vice President when they are absent.
- Send out information to other parties than the members
- Answer by mail or other ways necessary, requests, questions, comments or other from other parties than the members

Website Coordinator's Assistant
The assistant will help keeping the webpage updated.  

Lotus News Editor 
The Newsletter Coordinator is responsible for producing and engaging, entertaining, and accurate Newsletter for the HIWC on a monthly basis. She must possess strong communication, organization skills and should also have good computer skills.
A keen attention to detail and the ability to manage to deadlines is required for this position. The Newsletter is produced in English. The Newsletter is produced 9 times per year (due to holidays, not in July, August and January).
- Must have a team of Sub-Coordinator, journalists, layout coordinator and advertising coordinator. Manage and work closely with this team. Organize a monthly team meeting.
- Proof-reading should be done by a member of the Subcommittee for editing.

Lotus News Advertising Coordinator
Developes and maintains contact with companies and businesses interested in advertising in Lotus News. Participates in a monthly editorial meeting.

Lotus News Sub-Coordinator
Assists in planning and editing the monthly Lotus News magazine. Writes articles and maintains contact with contributing writers. Participates in a monthly editorial meeting.

Lotus News Journalists
 

Membership and Merchandise Coordinators (Team of 2 people)
The Board would like to have two people working together on the membership and merchandise coordinator position. They will then also be in charge of HIWC merchandise (Mugs, Hanoi Guide, Cookbooks, diaries) and the selling of these at HIWC events.

At least one member of the team will be expected to attend all HIWC events to run the membership/ sales table, where she need to have forms and membership cards available at all events. Also to maintain the membership master file, to answer any questions new members may have via emails and in general be one of the first friendly faces new members see when they join the club.
She will also be responsible for selling HIWC merchandise at all HIWC events. The team will both hold board positions and will be required to attend a monthly board meeting.

Circle Activities Coordinator

The Circle Activities Coordinator is responsible for producing, engaging and entertaining activities from Club members for Club members.
Create and organize new Circle Activities, including updating information about each circle groups to the Newsletter and Website Coordinators.
Each of the circle activities has an organizer or a person in charge as well. This person is the one who run each activity on a regular basis. 
The Circle Activities Coordinator  is a board position and you will be required to attend a monthly board meeting.
